We are currently seeking a highly organized and proactive Virtual Assistant to join our remote team at Zetaton. As a Virtual Assistant, you will play a crucial role in supporting our team and clients by efficiently managing administrative tasks and facilitating seamless communication and coordination.
Key Responsibilities:
- Schedule and coordinate meetings on platforms such as Teams or Zoom, ensuring all necessary participants are invited and all technical requirements are met.
- Create, format, and organize documents, presentations, and spreadsheets to support various projects and initiatives within the software development process.
- Develop and manage forms, surveys, and other data collection tools using platforms like Google Forms or Microsoft Forms to gather feedback and information from team members and clients.
- Assist in the coordination and scheduling of internal team meetings, including agenda creation, meeting notes, and follow-up actions to ensure efficient collaboration.
- Act as a liaison between team members and clients, scheduling and coordinating meetings, and ensuring clear communication channels are maintained.
- Manage email correspondence, prioritize incoming messages, and draft responses on behalf of team members as needed, maintaining professionalism and attention to detail.
- Provide general administrative support such as organizing files, managing calendars, and handling other ad-hoc tasks as assigned to contribute to the smooth operation of the company.
